Methodology

How the study was conducted

This report is based on direct buyer simulation, not surveys or interviews. A researcher posed as a genuine buyer across 10 Dubai real estate agencies, submitting enquiries through Bayut and Property Finder and documenting every interaction from first contact through follow-up. Agencies were selected for active listing volume on Bayut and Property Finder, never by agent-count range. Interactions were conducted between April and May 2026.

Selected 10 Dubai agencies with active portal listings across Business Bay, JVC, Marina, Palm, Downtown, and Abu Dhabi Road, a mix of sales-only and sales-and-leasing operations.

Submitted genuine property enquiries via Bayut and Property Finder on active listings, using a consistent buyer persona and genuine buying-intent framing.

Documented response time, the first message verbatim, every qualifying question asked (or not asked), the channel used to respond, and whether follow-up occurred after the buyer went cold.

After the initial exchange, the buyer went cold and did not respond further. Follow-up attempts by the agency were tracked for 10 days.

Sample split: the six agencies in the sample operating at scale were analysed separately from the four smaller operations, based on portal listing activity — never on agent headcount. Every figure in this report states which sample it refers to.


Findings

What we found

Across all 10 agencies studied:

average first response time. Agencies weren't slow to reply. The problem was what happened in the conversations that followed.

asked the buyer's timeline. Every conversation skipped this entirely.

made zero attempt to re-engage after the buyer went cold.

Of the seven agencies that attempted any follow-up, six sent a single generic message before stopping. Only one ran a structured sequence with distinct content.

Full sample vs. agencies at scale. The qualification findings are unanimous in both cuts. No agency in either group established budget or timeline before presenting property. The two figures that move do so in the same direction: the larger agencies reply faster and make more contact attempts, and still lose the buyer at the same rate. Speed and effort were never the constraint. Structure was.

Average first response: 12 min across 10 agencies, 6 min among the six operating at scale. No re-engagement after buyer went cold: 3 / 10 across 10 agencies, 1 / 6 among the six operating at scale.
